SMS Opt-In Flow

Documentation of how QuickStudio collects end-user consent before sending any SMS message. This page is intended for compliance reviewers (Twilio Consumer Trust, TCR) and any user who wants to verify our opt-in practices.

Summary

QuickStudio is studio-management software for independent music, art and coaching studios. QuickStudio sends its own account notifications by SMS to parents, guardians and adult students who hold a QuickStudio account. A notice says that something in the account needs attention — a new message, a lesson change, a lesson reminder, a reply to a request, an invoice, or a payment update — and links to that item in the account. Notices contain no marketing and no free-text content written by a studio. QuickStudio is the sole sender and operates the number. In addition, when a studio invites a person to QuickStudio, QuickStudio sends that person one invitation text with an activation code, at the studio's request, to the number the studio holds for them. It carries no name and says how to opt out.

SMS consent is collected only via an affirmative opt-in checkbox, on the public-facing forms below and in the account's Settings. The checkbox is unchecked by default, and consent is not required to use the platform. Users may decline SMS and still use every other feature.

Double opt-in on the activation flow: Before an invited user ever sees the SMS consent checkbox, they must first verify ownership of the phone number by entering a 6-digit code delivered by SMS. This means only users who can receive SMS on the number they provided can grant consent for that number.

Who Receives SMS

Parents, guardians and adult students with a QuickStudio account, who have both verified that mobile number with a one-time code and ticked an unchecked-by-default consent box. Students under 18 are never sent texts. Studio operators separately receive account messages about their own studio account. The one exception to verified opt-in is the invitation text described in the Summary: at most one a day and three in all, to adults only.

Surface 3Alpha Waitlist Signup

Live URL: https://quickstudio.me/#alphaForm

Prospective customers submit an alpha signup form on the landing page. The form already required agreement to a privacy notice; an additional, independent, unchecked-by-default SMS consent checkbox appears directly below the privacy checkbox. Opt-in is optional — leads may submit the waitlist form without it.

Consent is stored on the waitlist_entries table alongside the server-authored timestamp and IP, so if a lead later converts to a studio account the consent evidence carries forward.

Checkbox copy: "I agree to receive SMS updates from QuickStudio about my alpha access, onboarding, and product availability. Frequency varies (typically 10–20/month, never more than 5 per day). Msg & data rates may apply. Reply HELP for help, STOP to cancel."

Surface 1Studio Operator Signup

When a new studio operator creates their account, the signup form collects their name, email, password, and an optional phone number. Directly above the Create Studio button, the form presents an SMS consent checkbox with the full required disclosures.

Surface 2Invited User Activation (Guardians / Students / Payers)

Live URL: https://quickstudio.me/pages/activate.html

A person invited by text arrives here from the link in the invitation text. Activation is a 3-step flow:

  1. Step 1 — Phone number. The user enters the phone number the studio has on file. Then either:
    • they already have a code from the invitation text: they tap Got a code in a text? Enter it here, and nothing is sent; or
    • they tap Send Activation Code, and a new 6-digit code is sent to that phone (this replaces any earlier code).
  2. Step 2 — OTP verification. The user enters the 6-digit code to prove they can receive texts at that number. A wrong code is refused, and after 5 wrong tries the code is locked.
  3. Step 3 — Email, password, and SMS consent. The user sets their login credentials and sees the SMS opt-in checkbox with full disclosure. Only after they check the box and complete activation are ongoing SMS messages permitted to that number.

A person invited by email activates on a separate page that asks for agreement to the Terms and Privacy Policy only, with no SMS checkbox, and says "You can turn on text messages later in Settings." They can opt in only through Settings, described next.

Consent UI (in-app Settings)

Account holders who did not opt in during activation can opt in later at Settings → SMS Messages. The screen has two parts, and both must be completed:

  1. Verify Your Phone — the account holder enters a mobile number, ticks the consent box (unchecked by default, text quoted below), and taps "Text me a code". A one-time code is sent to that number and must be entered to prove possession.
  2. SMS Messages consent — a separate, unchecked-by-default box recording consent to receive notices, with the frequency, rate disclosure, HELP/STOP instructions and links to this page and the Privacy Policy.

Consent is recorded only when the number is verified and the box is ticked. Unticking the box stops texts immediately.

(Verbatim text of both boxes: see sections 1 and 2 of developer/docs/plans/SMS-NOTICE-WORDING.md. Keep this page's quotation identical to what the screen renders — a reviewer compares them.)

NoteTransactional OTP (Pre-Consent)

The 6-digit code entered in Step 2 reaches the phone in one of two ways, and each is a single transactional, pre-consent text used solely to verify that the user controls the number:

The separate code text reads:

QuickStudio activation code: 123456 (expires in 15 min)

No further messages are sent to that phone number unless the user completes activation and explicitly checks the SMS consent box in Step 3, or later verifies the number and checks the box in Settings.
